Reception register
The Reports › Receptions report is your organization's reception register. As its on-screen description says: "Reception register: completed receptions in the period, by collected product group."
Use it to know who delivered what and when, how many units were received, and to produce the Excel register to keep or send.
Before you start
- You need the Reception register permission (group Reports). See Reports overview.
- Only receptions with the Completed status are counted. A reception becomes completed when someone clicks Complete in the reception (see Receptions).
- A unit's collected product group is the category of its product type, set in Administration › Products, Product Types and Categories tabs (see Products).
Viewing the register
- In the menu, click Reports, then Receptions.
- The register opens on the Last 3 months. To change the period, click the period button at the top left, choose a period, then click Apply (see Choosing the period).
- To sort, click a column header; click it again to reverse the order.
- Use the buttons at the bottom of the table to move between pages of 50 rows.
Exporting the register
- Choose the period.
- Click the button with the Excel icon at the top right (tooltip Export).
- The file
Reception_register_YYYY-MM-DD_YYYY-MM-DD.xlsxis downloaded and the message "The register was exported." is shown.
The file contains a Reception register sheet with the title "RECEPTION REGISTER", the seven columns below and all the rows of the period, in the default order. The button is greyed out when the period has no completed reception.
Columns
| Column | What it contains | Where the value comes from |
|---|---|---|
| Reception date | The day the reception was completed. | The moment someone clicked Complete (not the reception's creation date). |
| Carrier | The carrier that delivered. | The reception's Carrier field. |
| Transport note | The transport note number. | The reception's Transport note no. field. |
| Recycler | Your organization's name. | Your organization, the same on every row. |
| Received by | The name of the user who completed the reception. | The user who clicked Complete. |
| Collected product group (CPG) | The group of the units counted on the row. | The category of each unit's product type (Administration › Products, Categories tab). |
| Units | The number of units of that group in the reception. | The units of the inbound batches attached to the reception. |
How rows are built
The register has one row per reception and per collected product group. A reception whose units belong to several groups therefore takes several rows, which share the same date, carrier, transport note and user.
Example: a reception completed on 2026-10-06 has two inbound batches:
- 12 units of the Réfrigérateurs pleine grandeur type and 4 of the Congélateurs type, two types of the Réfrigération domestique category;
- 3 units of the Déshumidificateurs type, of the Climatisation portative et déshumidification category.
(These are the product types and categories RecyTrax creates by default; their names are created in French.)
The register shows two rows for this reception:
| Reception date | Collected product group (CPG) | Units |
|---|---|---|
| 2026-10-06 | Climatisation portative et déshumidification | 3 |
| 2026-10-06 | Réfrigération domestique | 16 |
All the units of the reception's batches are counted, whatever their later processing (degassing, dismantling).
Row order
By default, and always in the Excel file:
- the most recent receptions first (by completion date);
- within a day, by descending reception number (R-10 before R-9);
- within a reception, by collected product group, in alphabetical order.
The reception number is used to order the rows but is not a column of the register.
On a phone
In the Cards view, each row becomes a card: the reception date and the transport note at the top, then "carrier → recycler", then Received by, Collected product group (CPG) and Units. The Table button shows the full table instead.
Rules
- A reception with the Draft status never appears. It enters the register when it is completed, on its completion date.
- A completed reception can no longer be edited or deleted ("It can no longer be edited or deleted.", as the Complete confirmation says). Its rows in the register therefore stay stable.
- The collected product group is read when the register is displayed. If a product type moves to another category in the administration, the rows of past receptions show its new category.
- If the period has no completed reception, the table shows "No completed reception in this period."
Frequently asked questions
My reception does not appear in the register.
Check two things: the reception must have the Completed status, and its completion date must be within the chosen period. A reception created in September but completed in October appears in October.
Why does one reception take several rows?
The register counts units per collected product group: a reception with units from two categories takes two rows.
Where do I find the reception number?
The register does not show it. Identify the reception by its date and Transport note, then find it in Receptions (the search accepts the reception no. and the carrier).
Can I filter the register by carrier?
The screen only filters by period. Sort by the Carrier column, or export the register and use the column's filter button in Excel.
The product group of an old reception changed. Why?
The group shown is the product type's current category. If someone moved that type to another category, the register reflects the change, even for past receptions.
Does a reception's unit total match its expected quantity?
Yes. The register counts the units actually placed in the reception's inbound batches, and RecyTrax refuses to complete a reception whose batches do not hold exactly the Expected quantity (for example: "The reception's batches hold 18 unit(s) for 19 expected: the reception cannot be completed."). Add up a reception's rows: you get its expected quantity.
