Reports overview

The Reports menu gathers the registers and balances RecyTrax builds from your operations: completed receptions, processed units and shipped shipments. Reports can be viewed on screen and exported to Excel, for example for a regulatory filing, a monthly follow-up or an audit.

Reports are read-only: they never change anything. They are computed when you display them, from your own organization's data only.

Before you start

Each report has its own permission. It grants access to the screen and to its Excel export.

Report (menu Reports ›)Required permission (group Reports)
ReceptionsReception register
Outbound materialsOutbound materials register
Mass balanceMass balance
Recycling registerRecycling register
  • Your organization's administrator role has all four permissions by default. Other users need an administrator to grant them (see Roles and permissions).
  • The parent permission Reports only groups the other four in the permissions window: on its own, it gives access to no report.
  • The Reports menu hides itself when you have none of the four permissions. When it is shown, it only lists the reports you have been granted.
  • If you open a direct link to a report without its permission, RecyTrax shows a page saying "You are not authorized to perform this operation.", with a Back to the application link.

Where the numbers come from

Drafts are never counted: a reception or a shipment with the Draft status appears in no report.

Opening a report

  1. In the menu, click Reports.
  2. Click the report you want: Receptions, Outbound materials, Mass balance or Recycling register.
  3. The report is displayed right away for its default period (see the table above). A short description under the title recalls what it contains.
info

The period is not remembered: each time you open a report, it goes back to its default period.

Choosing the period

The period button, with a calendar icon, is at the top left of the report. It shows the period's name (for example Last 3 months) followed by its dates.

Using a preset period

  1. Click the period button.
  2. In the list, click a period. The calendar shows the days it covers, and the bottom of the window sums it up with its dates and number of days (for example "· 7 days").
  3. Click Apply. The report is recomputed.

Cancel closes the window without changing anything.

PeriodDays covered (both ends included)

Choosing specific dates

  1. Click the period button.
  2. Click Custom, or click a day directly in the calendar.
  3. Choose the dates in one of two ways:
    • in the calendar, click the first day, then the last day;
    • or type the dates in the From and To fields, in the YYYY-MM-DD format. Separators are optional: 2026-09-01, 2026/09/01, 2026.09.01 and 20260901 are all accepted.
  4. Check the summary at the bottom of the window.
  5. Click Apply (or press Enter in a date field).

Date rules:

  • Both dates are included in the period.
  • Days after today are greyed out: a period cannot end in the future.
  • If you leave To empty, the period covers the single day in From.
  • While From is empty, the bottom of the window shows "Pick the dates on the calendar or type them." and Apply stays disabled.
  • The calendar shows two months side by side (one on a phone) and weeks start on Monday.

Possible messages:

MessageCause
"Invalid date: use the YYYY-MM-DD format."The typed date is incomplete or does not exist (for example 2026-02-30).
"The period cannot go past today."One of the typed dates is in the future.
"The From date must come before the To date."The start date is after the end date.
info

Unlike the dashboard, reports do not offer Last 90 days or All time. For a full history, choose Custom with an early start date.

Sorting and browsing a register

The three registers (Receptions, Outbound materials and Recycling register) are displayed as a table.

Sorting:

  1. Click a column header: the table is sorted in ascending order (up arrow).
  2. Click the same header again to switch to descending order (down arrow).

Sorting applies to the whole period, not only to the page shown. Rows with equal values keep the register's default order (described on each register's page). Only one column is sorted at a time.

Browsing: each page shows 50 rows. The bottom of the table shows the rows displayed and the total (for example "1–50 of 312") and the current page ("Page 1 of 7"). The First page, Previous page, Next page and Last page buttons move between pages. Changing the period or the sort takes you back to the first page.

The Mass balance has no sorting and no pages: its four sections are displayed one below the other.

Exporting to Excel

Every report exports to an Excel file (.xlsx). This is the only export format: there is no PDF or CSV export directly in RecyTrax, but you can save the Excel file in those formats from your spreadsheet software.

  1. Choose the period.
  2. Click the button with the Excel icon at the top right of the report (its tooltip reads Export). While the file is being prepared, the icon is replaced by a loading indicator.
  3. Your browser downloads the file and a message confirms the export: "The register was exported." (or "The mass balance was exported.").

The file name contains the report and the period's dates:

ReportFile name
ReceptionsReception_register_YYYY-MM-DD_YYYY-MM-DD.xlsx
Outbound materialsOutbound_materials_register_YYYY-MM-DD_YYYY-MM-DD.xlsx
Mass balanceMass_balance_YYYY-MM-DD_YYYY-MM-DD.xlsx
Recycling registerRecycling_register_YYYY-MM-DD_YYYY-MM-DD.xlsx

The dates in the name are the first and last days of the period. When the interface is in French, the file name is in French (for example Registre_reception_…).

What the file contains:

  • All the rows of the period, not only the page shown.
  • The rows in the report's default order: the sort you chose on screen is not carried into the file.
  • A title at the top of the sheet (for example "RECEPTION REGISTER"), a black header and filter buttons on each column, to filter or sort in Excel.
  • Labels in the interface language: an export made in English has English headers. Dates are in the MM/DD/YYYY format in English (YYYY-MM-DD in French).
  • A print-ready layout: landscape orientation, fitted to one page wide.
Tip

A register's export button is greyed out when the period has no rows: there is nothing to export. The mass balance's button stays enabled as soon as the report is loaded, even for an empty period.

On a phone

On a narrow screen, each register shows its rows as cards: the values that identify the row at the top, then every other column under its name. An empty value is replaced by a dash.

Below the toolbar, the View switch offers two buttons:

  • Cards: one card per row (the default view);
  • Table: the full table, which scrolls sideways; the first column stays visible.

Your choice is remembered in this browser. On a wider screen, the table is always shown.

The period picker then opens full screen, with the same periods, dates and buttons.

Rules

  • Reports only contain your organization's data. The registers' Recycler column shows your organization's name.
  • Reports reflect the data as it was when they were loaded. RecyTrax may show a report already loaded for the same period again for up to one minute: if a reception was just completed or a shipment just shipped, refresh your browser page to see it right away.
  • Some values are read as they are today (a product type's category, a model's weight, a partner's address, etc.). Changing them in the administration therefore also changes the reports of past periods. Each report page says which ones.
  • If the server receives an incomplete or reversed period (rare), it answers "The start and end dates are required." or "The end date must be on or after the start date.".

Tips

  • For a monthly report, choose Last month at the start of the following month: the period covers the whole month.
  • Before exporting an official register, check that all the period's receptions are Completed and all its shipments are Shipped: drafts are not counted.
  • A period's recycling register keeps growing as long as units received during that period are still to be processed. Wait until processing is done before the final export.
  • For the mass balance, prefer a long period (the default Last year): the inputs and outputs of a same period do not necessarily concern the same appliances.

Frequently asked questions

I can't see the Reports menu. Why?

You have none of the four report permissions. Ask an administrator to grant you the ones you need (see Roles and permissions). If you see the menu but not a given report, you are missing that report's permission.

Can I export to PDF or CSV?

Not directly. RecyTrax exports to Excel (.xlsx) only. Open the file in your spreadsheet software and save it as PDF or CSV; the landscape, one-page-wide layout is already set for printing.

I sorted the table, but the Excel file is not in the same order.

This is by design: the export always follows the report's default order. Use the header filter buttons in Excel to sort the file.

The export button is greyed out.

The chosen period has no rows, or the report is still loading. Widen the period or wait for loading to finish.

A reception I just finished does not appear.

A reception only enters the reports once it is Completed (Complete button). It is placed in the period by its completion date, not its creation date. If you have just completed it, refresh your browser page.

Do reports show other organizations' data?

No. Each organization only sees its own data; the Recycler column shows your organization's name.

The period I had chosen was gone when I came back to the report.

The period is not remembered. Each report reopens on its default period.
