Outbound materials
The Reports › Outbound materials report is the register of the materials leaving your plant. As its on-screen description says: "Outbound materials register: batches shipped in the period."
Use it to know which materials left, in what quantity, to which buyer and under which management mode (valorization), and to produce the Excel register.
Before you start
- You need the Outbound materials register permission (group Reports). See Reports overview.
- Only the outbound batches of a shipment with the Shipped status are counted. A shipment becomes shipped when someone clicks Ship (see Shipments).
- The material nature and type come from Administration › Materials (Material Types and Categories tabs) and the management mode from Administration › Valorizations.
Viewing the register
- In the menu, click Reports, then Outbound materials.
- The register opens on the Last year. To change the period, click the period button at the top left, choose a period, then click Apply (see Choosing the period).
- To sort, click a column header; click it again to reverse the order.
- Use the buttons at the bottom of the table to move between pages of 50 rows.
Exporting the register
- Choose the period.
- Click the button with the Excel icon at the top right (tooltip Export).
- The file
Outbound_materials_register_YYYY-MM-DD_YYYY-MM-DD.xlsxis downloaded and the message "The register was exported." is shown.
The file contains an Outbound materials sheet with the title "OUTBOUND MATERIALS REGISTER", the twelve columns below and all the rows of the period, in the default order. Two differences from the screen:
- the management mode column's header is Management mode*;
- a note at the top right of the sheet explains the asterisk: "*Either reuse or disposal for gases".
The button is greyed out when the period has no shipped batch.
Columns
| Column | What it contains | Where the value comes from |
|---|---|---|
| Recycler | Your organization's name. | Your organization, the same on every row. |
| Date | The shipping date. | The moment someone confirmed Ship on the shipment. |
| Unique number (ID) | The outbound batch number, for example LS-12. | The outbound batch's Batch no. |
| Material nature | The material's category. | The material type's category (Administration › Materials, Categories tab). |
| Material type | The batch's material. | The outbound batch's material type. |
| Quantity (kg) | The batch's weight, to two decimals. | The outbound batch's Weight (kg) field (see the warning below). |
| Disposal date | The shipping date (the same as Date). | The moment the shipment was shipped. |
| Disposed by | The name of the user who shipped. | The user who confirmed Ship. |
| Management mode | The batch's valorization. | The valorization chosen for the batch on the shipment (Administration › Valorizations). |
| Exit note | The shipment's transport note number. | The shipment's Transport note no. field. |
| Destination | The buyer. | The shipment's Buyer field (the partner's name). |
| Street address | The buyer's address. | The partner's address, city, province, postal code and country, separated by commas; empty parts are left out. |
Quantity (kg) shows the outbound batch's Weight (kg) as it was entered: the packaging weight is not deducted. A shipment's screen, on the other hand, also shows a Net weight (kg) ("Weight less the packaging's weight"). The two values therefore differ for a batch that has a Packaging weight (kg).
How rows are built
The register has one row per shipped outbound batch. A shipment of five batches takes five rows, which share the same date, user, exit note and destination. Each row has its own material, weight and management mode.
The Date and Disposal date columns show the same date (the shipping date): the register follows the official layout, which has both.
Row order
By default, and always in the Excel file:
- the most recent shipments first (by shipping date);
- within a day, by descending shipment number (EX-10 before EX-9);
- within a shipment, by ascending batch number (LS-9 before LS-10).
On a phone
In the Cards view, each row becomes a card: the batch number and the date at the top, then the material, its nature and its weight, then Management mode, Disposal date, Disposed by, Exit note, Destination, Street address and Recycler. The Table button shows the full table instead.
Rules
- A shipment with the Draft status never appears. Its batches enter the register when it is shipped, on the shipping date. Each batch's valorization is suggested by default from the buyer and the material, and can be changed while the shipment is a draft.
- RecyTrax refuses to ship a batch without a weight or without a valorization. The messages "These batches have a weight of 0: …" and "These batches have no valorization: …" list the batches to fix. Every row of the register therefore has a weight above 0 and a management mode.
- A shipped shipment and its batches can no longer be changed ("The shipment and its batches can no longer be changed, and the batches leave inventory.", as the Ship confirmation says).
- Some values are read when the register is displayed: the buyer's name and address, and the material's category. If you change them in the administration, the rows of past shipments show the new values.
- If the period has no shipped batch, the table shows "No shipped batch in this period."
Frequently asked questions
Why does the quantity differ from the net weight shown on the shipment?
The register shows the outbound batch's Weight (kg), without deducting the packaging weight. The shipment screen's Net weight (kg) does deduct it.
An outbound batch does not appear in the register.
The batch must be on a shipment with the Shipped status (the batch itself is then Shipped), and the shipping date must be within the chosen period. A batch that is Open, or Assigned to a shipment that is still a draft, is not counted.
Why two identical date columns?
Date and Disposal date are both the shipping date. The register keeps both columns of the official layout.
What does "Management mode" mean?
It is the valorization under which the material was shipped (for example recycling, reuse or disposal, depending on the valorizations defined in your organization). It is suggested by default from the buyer and the material, and can be changed on the shipment while it is a draft.
The address of an old shipment changed.
The address shown is the buyer partner's current address. If it was changed in Administration › Partners, the register shows the new address, even for past shipments. Keep the Excel exports if you need a frozen copy.
Do shipped gases appear in this register?
Yes, if they are shipped in an outbound batch: that batch appears like any other, with its material (for example R-134a) and its nature. The Mass balance also groups them in its gas section.
