Outbound batches
An outbound batch is a quantity of a single material ready to leave the plant: a bin, a pallet or a container you have filled with one material. Each outbound batch has a material, a weight, optionally a packaging, and a unique number of the form LS-1, LS-2, LS-3…
Once created, the outbound batch can be stored at a warehouse location (put in inventory), then added to a shipment. It leaves the plant with it when the shipment is shipped.
The Outbound batches screen lets you create these batches, weigh them, store them, print their identification corner and follow their status until they leave.
An outbound batch holds only one material and has only one weight: it has no lines. RecyTrax does not record which appliances or which inbound batches an outbound batch's material comes from.
Before you start
- Permission: you need the Outbound batches permission (Operations group). Without it, the Outbound batches item does not appear in the menu. See Roles and permissions.
- Materials: the materials must exist and be active. See Materials.
- Locations: to put a batch in inventory, there must be at least one active location in an active warehouse. See Warehouses.
- Packagings (optional): to record which container the batch is in, the packagings must be created. See Packagings.
View the list of outbound batches
In the left-hand menu, click Outbound batches. The list shows the most recent batches first, 50 per page.
| Column | Content |
|---|---|
| Batch no. | The batch number (LS-…). |
| Material | The batch's material, with its category icon. |
| Weight (kg) | The batch's weight. |
| Location | The warehouse and location where the batch is stored, or Not in inventory. |
| Shipment | The number of the shipment the batch is on (EX-…), or -. |
| Status | Open, Assigned or Shipped (see Statuses). |
- Click a row, or the pencil icon (Edit), to open the batch.
- Click the Batch no., Material, Weight (kg) or Status header to sort the list.
- The pagination buttons at the bottom of the list move from one page to another.
Search and filter
- Search by batch no., material or shipment: type part of the batch number, the material name or the shipment number. The search ignores case and accents.
- All statuses: limit the list to one status (Open, Assigned or Shipped).
- All materials: limit the list to one material.
The filters combine with the search.
On a phone, each batch in the list is shown as a card, and the Save button of a batch's page sits at the bottom of the screen.
Create an outbound batch
- In the left-hand menu, click Outbound batches.
- Click New outbound batch, at the top right of the list.
- In Material, choose the batch's material.
- In Weight (kg), enter the batch's weight. The field starts at 0: if the batch has not been weighed yet, you can leave 0 and enter the weight later (on this page or directly on the shipment).
- If the batch is in a packaging, choose it in Packaging, or click the QR code button next to the list (Scan a packaging's label) and scan the packaging's label.
- If you chose a packaging, the Packaging weight (kg) field appears: enter the weight of the empty packaging.
- If needed, add a Comment.
- Click Save.
The Saved successfully message appears and the page stays open. The title now shows the number given to the batch (for example Outbound batch LS-12) and its Open status. The Print corner and Put in inventory buttons appear at the top of the page.
You can also create an outbound batch directly from a shipment, when no open batch is available: it is then added to the shipment straight away. See Shipments.
Weight and packaging
If the batch is weighed in its packaging, enter the weighed weight in Weight (kg) and the weight of the empty packaging in Packaging weight (kg). The shipment then shows each batch's net weight, that is, the weight less the packaging weight.
Weights are in kilograms and accept up to three decimals (to the gram).
Edit an outbound batch
- In the Outbound batches list, click the batch's row (or the pencil icon).
- Change the fields you need.
- Click Save.
The Saved successfully message appears and you return to the list.
What you can change depends on the batch's status:
| Action | Open | Assigned | Shipped |
|---|---|---|---|
| Change the material | Yes | No | No |
| Change the weight, packaging, packaging weight, comment | Yes | Yes | No |
| Put in inventory, move, take out of inventory | Yes | Yes | No |
| Print the corner | Yes | Yes | Yes |
| Delete | Yes | No | No |
| Add to a shipment | Yes | No (already on a shipment) | No |
When the batch is on a shipment (Assigned status), the Material list is greyed out and the page shows: "The material can't be changed while the batch is on a shipment."
A Shipped batch is read-only: only the Print corner button remains available.
Store a batch in inventory
A batch is in inventory when it has a location. The page's Location field, and the column of the same name in the list, then show the warehouse name followed by the location name (for example "Main warehouse - Aisle A"). Otherwise, they show Not in inventory.
Being in inventory does not depend on the status: an Open or Assigned batch may or may not be in inventory. A batch does not need to be in inventory to be added to a shipment or to be shipped.
Put a batch in inventory
- Open the batch.
- Click Put in inventory.
- In the window, choose the Location. Locations are grouped by warehouse; each shows its code then its name. Only the active locations of active warehouses are offered.
- Click Save.
The The batch was put in inventory. message appears.
If the window shows No active location., no location is available and the Save button stays greyed out: ask an administrator to create or reactivate a location.
Move a batch
When the batch is already in inventory, the button is called Move.
- Open the batch.
- Click Move. The window opens on the current location.
- Choose the new Location.
- Click Save.
The The batch was moved. message appears.
Take a batch out of inventory
- Open the batch.
- Click Take out of inventory.
- In the Are you sure? window ("Take batch LS-12 out of inventory?"), click Take out of inventory.
The The batch was taken out of inventory. message appears and the location becomes Not in inventory.
You don't need to take batches out of inventory before they leave: when the shipment is shipped, its batches leave inventory automatically.
Print the identification corner
The identification corner is a Letter-size page to stick on the batch so it can be recognised on the shop floor. It shows:
- OUTBOUND BATCH and the batch number in very large type;
- Material, Weight and Created on;
- a QR code specific to the batch;
- the line Printed on … with the printing date and time.
To print it:
- Open the batch (the batch must have been saved at least once).
- Click Print corner.
- The PDF document opens in a new tab, ready to print.
If your browser blocks new tabs, the PDF is downloaded instead (a file named after the batch number,
for example LS-12.pdf).
The corner's QR code opens the batch's page directly: use the Scan a QR code button at the top of the screen and aim at the code. See QR codes and external identifiers.
The corner shows the batch's weight at the time of printing. If you change the weight afterwards (for example after weighing, from the shipment), print a new corner.
Delete an outbound batch
Only an Open batch (on no shipment) can be deleted, and only from the list.
- In the Outbound batches list, click the bin icon (Delete) on the batch's row.
- In the Are you sure? window ("Delete batch LS-12?"), click Yes.
The Deleted successfully message appears.
For an Assigned or Shipped batch, the bin icon is greyed out; hovering over it shows "A batch on a shipment can't be deleted". To delete an Assigned batch, first take it off its shipment (see Shipments).
A deleted batch's number is never reused: the numbering can therefore have gaps.

History
To the right of the page (or below it, on a small screen), the History panel traces the batch's life, most recent at the top, with the date and the user ("by …"):
- Created: the batch's creation;
- Assigned to EX-…: the batch being added to its current shipment (the number is a link to the shipment);
- Shipped: the shipment's departure.

Frequently asked questions
Can I put several materials in the same outbound batch?
No. An outbound batch holds only one material. Create one batch per material, then add them all to the same shipment if they leave together.
Why does RecyTrax accept a weight of 0?
So you can create the batch (and print its corner) before weighing it. Remember to enter the real weight before it leaves: the shipment refuses to be shipped if one of its batches weighs 0, with the message "These batches have a weight of 0: …".
Why is the bin icon greyed out?
The batch is on a shipment (Assigned) or has already left (Shipped). Only an Open batch can be deleted. For an Assigned batch, first take it off the shipment from the shipment's page; a Shipped batch can never be deleted.
I can't change the batch's material. Why?
The batch is on a shipment: its valorization was chosen there according to its material. Take it off the shipment, change the material, then add it again. Its valorization will then be taken again from the buyer.
Where do I choose a batch's valorization?
On the shipment, in the Valorization column of the batch table. The batch's page shows it read-only.
My batch is no longer in inventory although I didn't take it out.
This is normal if its shipment was shipped: shipped batches leave inventory automatically.
Can I change a batch that has already been shipped?
No. A Shipped batch is read-only, and a shipped shipment cannot be cancelled.
The material I'm looking for isn't in the list.
It is probably deactivated. Ask an administrator to reactivate it in Materials.
The new batch's number skipped one.
The numbers of deleted batches are never reused. For example, if the last batch created, LS-15, is deleted, the next batch will be LS-16: the number LS-15 will not be given again.
