Roles and permissions

In RecyTrax, every screen is protected by a permission. Permissions are grouped into roles, and each user receives one or more roles. That is why two people in the same organization do not see the same menu: a reception clerk, a degassing operator and a shipping clerk each have the screens of their own job.

Before you start

  • Your permissions are the sum of the permissions of all your roles.
  • Each organization's admin role holds all the permissions described on this page.
  • Roles are assigned by an administrator of your organization, in Administration › Users.
  • Home and My account are open to any signed-in user, without a permission.

The permissions and what they open

Permissions are presented as a tree. The Administration, Operations, Processing and Reports entries only group the permissions placed under them: on their own, they open no screen.

Actions on the Users screen

The User management permission opens the list of users. Each action on the screen also needs its own permission, placed under it:

ActionAdditional permission needed
Create a user (New user) and send them an invitationCreate
Edit a user, deactivate or reactivate them, resend an invitationEdit
Choose a user's roles (Roles section of their form)Managing roles
Delete an invitation that has not been accepted yetDelete

The buttons of an action you are not allowed do not appear. See Users.

What you see when you lack a permission

WhereWhat happens
Side menuThe entry does not appear. A group (Reports, Administration) in which you cannot open any entry disappears entirely.
Bottom bar (phone)Only the screens you are allowed are offered.
HomeWithout Dashboard, Home only shows "Welcome" and your quick actions. A quick action only appears if you have the permission for its screen; with none, the Quick actions section is absent.
Direct link, bookmark, typed addressRecyTrax shows the 403 page (access denied), with a button to go back to the application.
Scanning a QR codeIf you scan the code of a batch whose screen you are not allowed, the 403 page appears.
My accountWithout Subscription, the Subscription tab is absent and the subscription banner never appears.
info

Hiding a menu is not the only protection: RecyTrax also checks the permission on every request. A person without the permission can neither read nor change the screen's data, even if they know its address.

Assigning a role to a user

Reserved for administrators who have User management, with Edit and Managing roles.

  1. Open Administration › Users.
  2. Click the user's row (or its pencil). The Edit user window opens.
  3. In the Roles section, tick the roles to give and untick the ones to remove.
  4. Click Save.

The user sees their new menus after refreshing the page or signing in again. For a new user, your organization's default roles are already ticked in the New user window. If no role can be assigned, the section shows "No roles available."

info

The content of each role (its list of permissions) is not changed from the screens described in this guide. If a role does not match someone's job, contact your organization's administrator.

Frequently asked questions

I was given a new role, but the menu doesn't appear.

Permissions are loaded when RecyTrax opens. Refresh the page (F5 key on a computer), or sign out and sign in again.

Why does my Home page only show "Welcome"?

You don't have the Dashboard permission. The quick actions you are entitled to are still shown below.

I scan a batch label and land on a 403 page.

The code opens the batch's page, which needs the Inbound batches permission (for an inbound batch) or Outbound batches (for an outbound batch). Ask your administrator for it if your job requires it.

I'm an administrator, but I don't see the Roles section in a user's form.

You lack the Managing roles permission, placed under User management.

I only see Degassing, not Dismantling. Is that normal?

Yes, if your role only covers one workstation. The two workstations each have their own permission, so that an operator only sees their own work list.

Who sees the organization's subscription?

Only users who have the Subscription permission, by default the administrators.
