Warehouses

The Administration › Warehouses screen manages your plant's storage places on two levels:

  • the warehouse: a building or an area (for example "Main warehouse");
  • the location: a precise spot in a warehouse where a batch is stored (for example a row, a bay or a dock area).

The screen has two tabs, in this order: Locations and Warehouses.

Locations are used to put batches in inventory:

  • Inbound batches: Inventorize stores the batch in a location; Remove from inventory takes it out. An inbound batch in inventory must be removed from it before its units are identified, degassed or dismantled (for example: "Batch LE-… is in inventory: remove it from inventory before degassing its units."). See Inbound batches.
  • Outbound batches: Put in inventory, Move and Take out of inventory. See Outbound batches.
  • Dashboard: the In inventory tile. See Dashboard.

Only active locations of active warehouses are offered in these operations. If there are none, the outbound batch shows "No active location."

Before you start

  • You need the Warehouses permission (see Administration overview).
  • A location always belongs to a warehouse: create the warehouse first. A new organization has no warehouses.

Create a warehouse

  1. Open Administration › Warehouses, then the Warehouses tab.
  2. Click New warehouse.
  3. Enter the Code and the Name.
  4. Click Save.

The new warehouse is active. The warehouse list shows the Code, the Name, Active (Active or Inactive) and the Locations column, as active / total (for example "3 / 4"). Search with Search by code or name.

Create a location

  1. Open the Locations tab.
  2. Click New location.
  3. Choose the Warehouse (only active warehouses are offered).
  4. Enter the Code and the Name.
  5. Click Save.

The new location is active and immediately offered for putting batches in inventory.

If no warehouse exists yet, the window shows "Create a warehouse first - every location belongs to one." Click Create a warehouse to switch to the Warehouses tab.

The location list shows the Code, the Name, the Warehouse and Active. Search with Search by code or name and filter with All warehouses.

Deactivate or reactivate

A location

  1. Click the pencil icon at the end of the location's row.
  2. Turn the Active switch off (or on).
  3. Click Save.

An inactive location is no longer offered for inventorizing or moving a batch.

A warehouse

  1. Click the pencil icon at the end of the warehouse's row.
  2. Turn off the Active switch. If the warehouse has active locations, RecyTrax warns: "Deactivating this warehouse will also deactivate its n active location(s)."
  3. Click Save.

All the warehouse's active locations become inactive at the same time.

Reactivating a warehouse does not reactivate its locations

When you reactivate a warehouse, its locations stay inactive. Then reactivate each location you need. While the warehouse is inactive, the Active switch of its locations is locked, with the hint "This warehouse is inactive - reactivate it before activating a location."

Delete

  • A location: click the trash icon, then confirm with Yes in the "Do you really want to delete “name”?" window.
  • A warehouse: click the trash icon. If it has locations, the confirmation says so: "Do you really want to delete “name”? Its n location(s) will be deleted as well." Confirm with Yes: the warehouse and all its locations are deleted.
No check for stored batches

RecyTrax does not check whether batches are in inventory in a location before deactivating or deleting it, nor before deactivating or deleting its warehouse. Before doing so, move the batches or take them out of inventory.

Frequently asked questions

My location does not appear when I inventorize a batch.

It is inactive, or its warehouse is. Check the Active column in both tabs and reactivate the warehouse, then the location.

I reactivated a warehouse but its locations stay inactive.

That is by design: only deactivation carries over to locations. Reactivate each location with the pencil icon.

I can't activate a location.

Its warehouse is inactive. First reactivate the warehouse in the Warehouses tab.

Can two warehouses have locations with the same code?

Yes. A location's code only needs to be unique within its warehouse.

What happens to the batches if I delete a warehouse?

RecyTrax does not stop you and does not move the batches. Before deleting, move the outbound batches (Move) and take out of inventory the batches stored in its locations.
